Why Is Volumetric Weight Charged and How Is It Calculated?

When shipping internationally, many people assume that the shipping cost depends only on the actual weight of the package. However, in some cases, carriers also consider the size of the box.

This is known as volumetric weight, also commonly called dimensional weight.

At Aiyu Japan, we want our customers to clearly understand this concept because it can directly affect the final cost of international shipping.

    What Is Volumetric Weight?

Volumetric weight is a way to calculate how much space a package occupies during transportation.

For shipping companies, space inside an aircraft, truck, or container is limited. Because of this, some shipping methods do not calculate the cost based only on the actual weight of the package, but also on the amount of space it takes up.

For example, a large box filled with plush toys may be light, but it can take up a lot of space. On the other hand, a small box filled with books may be heavier, but it occupies less volume.

Difference Between Actual Weight and Volumetric Weight

Actual weight is the physical weight of the package when it is placed on a scale.

Volumetric weight is calculated using the package dimensions: length, width, and height.

For many international shipments, the carrier compares both values and charges based on the higher one.

    Example:

    Actual package weight: 4 kg
    Volumetric weight: 8 kg

In this case, the shipment may be charged as 8 kg, because the package occupies more space than its actual weight represents.

    How Is Volumetric Weight Calculated?

    The most common formula is:

Length × Width × Height ÷ divisor = Volumetric weight

The measurements are usually entered in centimeters.

    Example:

    Length: 50 cm
    Width: 40 cm
    Height: 30 cm

    Calculation:

    50 × 40 × 30 = 60,000
    60,000 ÷ 5000 = 12 kg

Even if the package physically weighs 6 kg, its volumetric weight would be 12 kg. In that case, the carrier may calculate the shipping cost using the volumetric weight.

The divisor may vary depending on the carrier, destination country, and selected shipping method.

    Why Is Volumetric Weight Charged?

Volumetric weight is charged because international transportation depends not only on weight, but also on available space.

A large box can take up a significant amount of space during transportation, even if it is light. For this reason, carriers use volumetric weight to balance the cost between physical weight and package volume.

This usually affects products such as:

    Large plush toys
    Figures with bulky boxes
    Large quantities of clothing
    Shoes with boxes
    Bags
    Collectibles with large packaging
    Lightweight but oversized products

What Should Customers Consider Before Shipping?

    QuestionWhy It Matters
Do I want to keep the original product box?It may increase the final package size.
Is the product fragile? It may require more protection and a larger box.
Do I have several packages to consolidate?Consolidation can help organize the shipment more efficiently.
Is the product light but large? It may result in a higher volumetric weight.
Do I prefer to save space or protect the product better? In some cases, cost and protection must be balanced.

Does Aiyu Japan Charge Volumetric Weight?

Aiyu Japan does not create this charge independently. Volumetric weight is a rule applied by certain carriers and international shipping methods.

When the selected shipping method uses volumetric weight, the shipping cost is calculated based on the higher value between the actual weight and the volumetric weight.

This allows us to provide an accurate quote and avoid differences at the time of international dispatch.

Do All Shipping Methods Use Volumetric Weight?

    Not always.

Some shipping methods may calculate the cost mainly based on actual weight, while others may consider volumetric weight. This depends on the carrier, destination country, service type, and current shipping conditions.

That is why, once the package arrives at our warehouse in Osaka, it is properly weighed and measured. After that, the customer can view the available international shipping options based on the real characteristics of the package.

How Can Volumetric Weight Be Reduced?

In some cases, volumetric weight can be reduced by optimizing the final box size.

Some possible ways to reduce volume include:

Removing unnecessary outer boxes when possible.
    Consolidating products efficiently.
Avoiding empty spaces inside the package.
Requesting volume reduction for eligible products.
Using proper packaging without increasing the final box size too much.

However, reducing packaging too much is not always recommended. For fragile items, figures, collectibles, or delicate products, protection remains a priority.

    Practical Example

Let’s say a customer buys several plush toys from Japan.

The package only weighs 3 kg, but the box takes up more space because of the volume of the plush toys.

    Package dimensions:

    Length: 40 cm
    Width: 35 cm
    Height: 25 cm

    Calculation:

    40 × 35 × 25 = 35,000
    35,000 ÷ 5000 = 7 kg

In this case, even though the actual package weight is 3 kg, the volumetric weight would be approximately 7 kg.

Depending on the carrier, the shipment may be calculated using the volumetric weight because it is higher than the actual weight.

Volumetric weight exists because space also has a cost in international shipping.

For this reason, a light but large package may cost more to ship than a small but heavy package. At Aiyu Japan, we measure and weigh packages to provide clear shipping options according to each carrier’s rules and the destination country.

Our goal is to help customers choose the most convenient shipping method with clear and transparent information.
